In-App Bulk Event Importing
Ever wished you could just upload an entire show schedule all at once? Now you can! With bulk event data importing, you can upload existing schedules as CSVs directly into Prospero. This is especially useful when you're getting started and have a season's worth of rehearsals, load-ins, or performances already mapped out in a spreadsheet. Plus, you can use external AI to help you turn even messy meeting notes into formatted event data. Learn more and get a ready-to-paste AI prompt to help format your data in this how-to article.
To import events, open the Calendar's … menu and select Bulk Import. Prospero validates the file, fuzzy-matches your resource names (locations, roles, and items) with resources you already have in the app, and shows you a full preview of the data before adding anything to the calendar.

Once all values are accepted, you can enter Review Mode and view all your imported events as they will appear on the calendar before finalizing the import. When you click Import, events will be added as drafts to allow for a final layer of review before making them visible in public view links. Use bulk editing to select all draft events and change them to public.

View Link Passwords

View links are great because you don’t need a password, but now you can add one if you’d like to. Give views an extra layer of security by adding a password to the view link when you click Update View. Try it below (the password is: secretschedule)
New Rentals Module
If your organization rents out its venue, stage, or equipment, Prospero can now handle the your full rentals workflow. From the first inquiry through final payment, rentals live alongside your existing calendar and integrated booking portals so you can see conflicts, approve requests, and send invoices without jumping between tools.

Pricing tiers let you set rates for spaces, equipment, staff, and consumables by item, by hour, or by a custom unit like day or week. Easily add tax and overtime rates so quotes reflect what you actually charge.

When a booking is approved, Prospero automatically generates an offer from those details and prompts you to notify the booker with a single click. Invoices can then be generated from these offers or from the records of the past event.

Triage Mode gives you a dedicated calendar view for reviewing incoming requests against your existing schedule, so you can spot a conflict with a Saturday matinee before approving a rental for that afternoon.

Other Improvements:
Print Public View LInks. Viewers can now print view link schedules with Ctrl/Cmd⌘ + P.
Download Bulk QR Codes. Item QR codes can now be downloaded in bulk via … > Download QR Codes on the Items page.
Save Offers and Invoices. Offers and invoices now include an extra Save button in the header, so your work is never lost when an app update prompt appears mid-edit.
